Parkinson's Law is a simple but powerful idea that says work expands to fill the time available for its completion. In other words, if you give yourself an hour to do a task, it will take an hour. If you give yourself two hours for the same task, it will somehow take two hours.

This concept was first introduced by Cyril Northcote Parkinson in 1955. Since then, people have seen this law at play in many areas of life and work.

Meetings often expand to fill their allotted time, a tendency exacerbated in the digital age. Without physical constraints like room availability or commutes, there's less urgency to finish promptly. Virtual settings also enable easy multitasking, leading to reduced focus and extended discussions as points are repeated or clarified. This combination of factors frequently results in meetings running longer than necessary, despite the actual content of the agenda.

How do we implement Parkinson's Law for meetings?

  • Set Shorter Meeting Times: Instead of defaulting to hour-long slots, try 25 or 45-minute meetings.
  • Have a Clear Agenda: Share a detailed agenda beforehand and stick to it during the meeting.
  • Use a Timer: Display a countdown timer for each agenda item to keep discussions on track.
  • Encourage Preparation: Ask participants to review materials like pre-reads before the meeting to reduce explanation time.
  • End Early: If you've covered everything, don't be afraid to end the meeting early.
  • Follow-up Offline: For topics that need more discussion, schedule separate focused sessions or handle them via email.
  • Regular Breaks: For longer meetings, schedule short breaks to help maintain focus and energy.
